Office Assistant/Receptionist at AKADEMIYA2063




AKADEMIYA2063 seeks a qualified candidate to serve for a one-year, fixed-term, renewable appointment as an Office Assistant/Receptionist in its Kigali Headquarters. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.

The successful candidate will be the front face of the organization and will be responsible for greeting guests and visitors, providing superior customer service to callers of the main phone line, and assist in various administrative and logistical tasks related to AKADEMIYA2063 and its employees.

Specific duties include but are not limited to:

  • Greet all visitors in a courteous and professional manner
  • Provide visitors with information and direct them accordingly
  • Answer phone calls and direct callers to the appropriate party
  • Process, sort, and route incoming and outgoing mail
  • Monitor and manage inventory of supplies (office, cleaning, coffee/tea, etc…), order and distribute them as necessary
  • Coordinate and schedule appointments and meetings
  • Create and update records ensuring the accuracy and validity of information
  • Schedule and plan meetings and appointments
  • Maintain office services and manage providers (cleaning, security, maintenance, repairs, etc…), ensuring that satisfactory services are rendered
  • Ensure that working office facilities and surroundings are well maintained
  • Coordinate events as necessary
  • Organize travel arrangements for staff
  • Resolve office-related malfunctions and respond to requests or issues
  • Perform other duties as assigned or required




REQUIREMENTS

  • Bachelor’s degree in Business Administration, Management, or related field
  • 3 years of experience in administration
  • Working knowledge of office equipment
  • Thorough understanding of office management procedures
  • Analytical abilities and aptitude in problem-solving
  • Proficiency in MS Office
  • Ability to multi-task in a dynamic environment;
  • Ability to work in a collaborative environment;
  • Adaptation capacity and flexibility in a changing environment;
  • Ability to interface smoothly and communicate effectively across multiple teams and disciplines;
  • Excellent organizational and time management skills
  • Excellent skills in writing and oral communication;
  • Fluency in written and spoken French and English.
